Revision C in the office, the crew builds from revision A

The designer emailed the new revision to the site manager. The site manager was on holiday. The wall stands in the wrong place and someone has to pay for it.

An RFI asked by phone, answered by text message

The foreman asks about a detail, the designer answers on the site manager's phone. A year later, in a dispute with the client, nobody can prove who agreed what.

Certificates gathered the week before handover

Declarations of performance and technical data sheets sit in supplier emails, on USB sticks and in a box in the site office. Before final handover, someone spends a week calling for the missing ones.

Repository with revisions

Drawings, specifications, permits and decisions filed by number, discipline and stage. Every revision has a date, an author and a status: draft, for review, current, superseded.

Current revision on site

The phone and tablet app shows revisions with the status "current". A superseded one carries a red marker and will not open without a warning.

Revision comparison

Two PDFs or DWGs overlaid, differences highlighted in colour. The site manager sees in a minute what the designer changed, instead of hunting across the sheet with a pencil.

RFIs with deadlines and a trail

A question from site with a photo and a pin on the drawing, assignment to the designer, a response deadline, the answer pinned to the drawing. Overdue RFIs light up on the list.

Approval paths

A contract goes to the lawyer, then to the board; a shop drawing to the site manager and the site inspector. Whoever needs to approve gets a notification, and you see where the document is stuck.

Certificates and declarations of performance

Every material delivery has a slot for the certificate, the declaration of performance and the data sheet, linked to a BoQ item. A missing document shows on the list throughout the build, not only before handover.

Contracts, amendments and deadlines

Client and subcontractor contracts with amendments, deadlines, retentions and penalty clauses. A reminder arrives 30 days before a warranty ends or a retention falls due.

History and permissions

A full log: who opened, downloaded, changed the status. The subcontractor sees their drawings and contract, the inspector their disciplines, the client what you share with them.

What AI does in document management

Three years ago features like these needed a data science team. Today language models read emails, documents and photos, and we build them into the system we make for you. Below is what makes sense in this solution. A person approves, AI prepares.

Documents recognized on upload

AI reads the uploaded PDF, recognizes the type (drawing, contract, certificate, decision), number, revision and discipline, and proposes a place in the structure. The document controller clicks "approve".

Revision differences described in words

Beyond overlaying the drawings, AI describes what changed: moved openings, a different section, new reinforcement. The site manager gets a list of changes instead of only coloured patches.

Draft RFI responses

From the drawings, specifications and earlier RFIs on the project, AI drafts a response. The designer corrects and signs instead of writing from scratch.

Missing certificates before handover

AI compares the BoQ and deliveries with the list of uploaded certificates and declarations. Whatever is missing goes on a list with the supplier's name and a draft email asking for it.

Drawings stay in the designers' software

We do not force design studios to change tools. Revisions come in from Revit, Archicad and AutoCAD as PDF, DWG or IFC, and contracts from the mailboxes and drives where they sit today.

Common questions

Do designers have to work in our system?
No. The studio uploads a revision through a link or emails it to a dedicated address, and the system recognizes it. If the studio works in Autodesk Construction Cloud or Archicad, we connect to the export.
Does it work on site without coverage?
Drawings current for the stage download to the tablet in advance and open offline. RFIs and photos are stored on the device and sent when coverage returns.
What about documents on the network drive and in mailboxes?
We migrate them. AI recognizes the type and revision of most files, the rest we sort together with your document controller. The old drive stays in read-only mode.
Is this enough as evidence in a dispute with the client or a subcontractor?
The system records who uploaded, approved or downloaded a document, when and from which account, with a tamper-proof timestamp. The log exports to PDF for your lawyer. We connect a qualified e-signature if your contracts require it.
Where is the data and who owns it?
On servers in Poland or the EU, in your infrastructure or with the cloud provider you choose. The code and data are yours, available for the whole warranty and defects period.
