Crop treatment records

Crop treatment records are the register a farm keeps of the plant protection products and fertilisers it has applied: field, crop, date, product, dose, area and the reason for the treatment. In Poland they are checked by PIORiN, the plant health and seed inspection service, and the same data feeds quality standard audits and subsidy paperwork.

The entry is made in the middle of fieldwork, but the people who read it are somebody else entirely: an inspector, a GlobalG.A.P. auditor, an adviser, sometimes a buyer checking pre-harvest intervals before picking. That is why completeness matters so much; a missing growth stage or dose causes as much trouble as a missing entry.

Alongside plant protection, a farm keeps fertilisation records. Poland's nitrates action programme, the national implementation of the EU Nitrates Directive, sets obligations around timing, doses and documentation of nitrogen fertilisation, and how far they reach depends on factors such as farm size and type of production, so the specific requirements need checking case by case with an adviser or in the current regulation. Some of the same data comes back later in applications filed through eWniosekPlus, the online system run by ARiMR, the agency that pays EU farm subsidies in Poland.

The most common problem is delay. The sprayer operator finishes late, notes the dose on a scrap of paper or sends a text, and the agronomist fills in the register days later. By then the treatment date, the usage from the chemical store and the distributor's invoice no longer agree, and those are the sources an inspection compares. An entry made in the field from a phone, with the date and location captured automatically, closes the gap; whether it is accepted without a paper version depends on the inspection or the certification body, so it is worth settling that in advance and keeping paper until it is settled.

You will recognise the topic if the records live in three places at once, in the operator's notebook, the agronomist's spreadsheet and the software that produces the applications. Or if somebody spends two days before an audit reconciling dates between those sources.
