The same file in four places

The floor plan PDF is in Archicad, on Drive, in an email to the client and in the contractor's folder. A change in one means copying by hand to the other three.

The stage invoice goes out when someone remembers

Stage closed on Friday, invoice issued in Fakturownia a week later, because the client's details have to be copied from the contract. Payment terms start counting from then.

Team workload lives in a partner's head

Hours are in Excel, projects in email, holidays in a calendar. You take on a new inquiry without knowing whether anyone has time for it.

Seven parts that make up the integration

We do not replace Archicad, Drive or your invoicing software. We connect them to ArchiFlow, or to the tool you run projects in, so data entered once reaches everywhere it is needed.

CAD and BIM files next to the project

The project folder on Drive or Dropbox has a fixed structure per stage. A new PDF or IFC saved from Archicad or Revit lands in the right stage and gets a revision number.

Data from the IFC model

Areas, storeys, room and window schedules read from the model. They flow into the project card, the cost estimate and permit documents without re-keying.

Invoicing tied to stages

A client's stage approval creates an invoice in Fakturownia, wFirma or iFirma with details from the contract and the amount from the proposal. You click "issue", KSeF runs in the background.

Calendar and deadlines

Permit-office deadlines, client meetings and site visits in Google Calendar or Outlook, linked to the project. A change in the calendar flows back to the project.

Hours and workload

Time from your time tracker or from entries in the system assigned to stages. You see what a stage cost and who has room for a new project.

Emails pinned to the project

Correspondence with the client, the permit office and engineering consultants from Gmail or Outlook lands in the project thread, matched by address and case number.

Integration monitor

Every flow visible: passed, waiting, rejected and why. When the invoicing software is down, the invoice waits in the queue and goes out once it is back.

What AI does in the integrations

Drawings recognized and filed

A new file in the folder gets a proposed stage, drawing type and revision number from the file name and the title block. The architect confirms with one click.

Emails pinned to the right case

AI reads an email from the permit office or a consultant, recognizes the project by address, plot number or case reference, and pins it to the thread with a short summary.

Inconsistencies between tools

An invoice with no approved stage, a closed stage with no invoice, a project with no folder, a revision with no date. An alert to the lead architect before the client notices.

Errors explained in plain language

The monitor describes what failed and what to do, instead of showing an API error code.

Common questions

Do we have to change how we work in Archicad or Revit?
No. You save and publish as before, into the project folder. The system watches the folder, not the program. We only agree on file naming if today everyone names files their own way.
Can this be done without ArchiFlow?
Yes. We connect the integrations to the tool you run projects in, as long as it has an API or an export. ArchiFlow is a convenient hub because it has stages, a portal and signatures, but it is not a requirement.
What if Fakturownia or Drive is down?
Jobs wait in the queue and pass once it is back. Nothing is lost, and the monitor shows the backlog and the time to clear it.
Where is the data and who has access?
Files stay on your Drive or Dropbox, project data sits in your database on servers in the EU. You grant access per role, and the contractor sees only the current drawings of their own project.
Who maintains the integrations?
We can, for a fixed monthly amount, or someone at the studio after training and with documentation. The code is yours.
